We want every client to understand how payments and refunds work before a project begins.
1. About this policy
This Refund Policy explains when payments made to Webeea may be refundable and when they are non-refundable.
This policy applies alongside our Terms & Conditions and any specific terms contained within an agreed quotation, proposal, invoice or project agreement.
Where a specific written agreement contains different refund terms, those agreed terms will apply to the relevant project.
2. Deposits and upfront payments
Where a project requires a deposit or upfront payment, this payment secures the project and allows Webeea to allocate time, resources and development capacity to the work.
Deposits are generally non-refundable once Webeea has accepted the project and commenced preparation or work, except where a refund is required by law or Webeea agrees otherwise in writing.
A deposit may cover initial planning, research, design, development, project preparation, administration or resources allocated to the project.
3. Cancellation before work begins
If you cancel a project before work has started, Webeea will consider the circumstances and the amount of work or costs already incurred.
Where no work has been undertaken and no non-refundable costs have been incurred, Webeea may, at its discretion, provide a full or partial refund.
Any refund will be assessed on a case-by-case basis and may be reduced by work already completed or costs already incurred.
4. Cancellation after work has started
If you cancel a project after work has started, payments relating to work already completed are not refundable.
You may also be responsible for any approved third-party costs or expenses incurred on your behalf.
Where the amount already paid exceeds the value of work completed and eligible costs, Webeea may consider whether any remaining balance is refundable.
5. Completed work
Payments for completed and approved work are non-refundable.
Once a deliverable has been supplied and accepted, or the relevant stage of a project has been completed, payment for that work will generally not be refundable.
6. Revisions and changes
Refunds will not normally be provided because a client changes their mind about a design direction after work has been completed.
Where revisions are included within the agreed project scope, Webeea will use the agreed revision process to make reasonable changes.
Additional revisions or changes outside the agreed scope may be chargeable.
7. Website projects
Website design and development projects involve time and resources being committed throughout the project.
If a website project is cancelled after design or development work has begun, the amount refundable, if any, will be determined based on the work completed, payments received and costs incurred.
Final website files, credentials, access details or other deliverables may be withheld until all outstanding project invoices have been paid.
8. Ecommerce projects
Ecommerce projects may involve additional third-party services, integrations, payment systems, apps, plugins, licences and development work.
Third-party costs already paid or committed on behalf of the client may be non-refundable.
Any refund relating to an ecommerce project will take into account work completed and third-party costs incurred.
9. SEO services
SEO is an ongoing service and results cannot be guaranteed.
Payments for SEO work already completed are non-refundable simply because a particular ranking, traffic level, lead volume or commercial result has not been achieved.
Where SEO is provided as a recurring service, cancellation will be handled according to the agreed notice period or contract terms.
10. Google Ads and advertising
Advertising spend paid to Google or another advertising platform is separate from Webeea's service fees.
Once advertising spend has been committed or charged by the relevant advertising platform, Webeea cannot guarantee that it will be refundable.
Webeea service fees relating to work already completed are also generally non-refundable.
11. Digital marketing and ongoing services
For recurring digital marketing, website management or other ongoing services, payments relating to work already performed during the applicable billing period are non-refundable.
Cancellation of future services will be handled according to the relevant agreement, notice period or billing terms.
12. Third-party products and services
Some Webeea projects require third-party products or services, including hosting, domains, plugins, software licences, email services, advertising platforms, payment providers and other external services.
Where Webeea has purchased or committed to a third-party service on your behalf, that cost may be non-refundable depending on the third party's own terms.
13. Client delays
Refunds will not normally be provided where a project is delayed because the client has not supplied required information, content, approvals, feedback or access.
Webeea may pause a project where required client information or approval has not been provided.
14. Refund requests
Refund requests should be submitted in writing to:
Your request should include your name, project details, invoice information and the reason for requesting a refund.
Webeea will review the request and respond within a reasonable timeframe.
15. Approved refunds
Where Webeea agrees that a refund is due, the refund will normally be made using the original payment method where reasonably possible.
Processing times may vary depending on the payment provider or financial institution.
16. Errors in payment
If you accidentally make a duplicate payment or make a payment in error, please contact us as soon as possible.
Where appropriate, Webeea will arrange for the incorrect or duplicate payment to be returned, subject to verification.
17. Statutory rights
Nothing in this Refund Policy is intended to remove or restrict any rights you may have under applicable UK consumer protection legislation.
Where the law gives you a right to a refund, cancellation or other remedy, those rights will continue to apply.
18. Changes to this policy
Webeea may update this Refund Policy from time to time.
The version applicable to your project will generally be the version in effect when your project is accepted, unless otherwise agreed in writing or required by law.
